JOB DESCRIPTION

1. Implementing Recruitment Plan:
- Execute the recruitment plan
- Utilize various information channels to attract potential candidates.
- Prepare recruitment procedures after selecting the suitable candidate.

2. Managing Salary, Bonus, and Benefits:
- Track monthly attendance as per regulations
- Manage employee contracts: sign, renew, terminate, etc.
- Monitor employee feedback and requests within the assigned scope, report to direct superior
- Store and maintain employee records

3. Managing Employee Welfare Programs:
- Organize health care programs for employees: periodic health check-ups, health insurance, etc.

4. Administrative Management (equipment, office supplies, documents, seals, contracts, outsourced services):
- Perform reception, documentation, storage, secretary, meetings, business trips, and events as needed.
- Track expiry dates of investment documents and business registration, report to the direct superior.
- Manage official letters, documents, seals, and ensure proper execution of documentation and archiving.
- Procure and manage office equipment, supplies, and the facilities management (telephone, taxi, car rental, accommodation, internet, utilities, translation services, legal paper certification, etc.).
- Identify suppliers, request approval, negotiate contracts, prepare payment documents, and manage contract terminations/extensions.
- Assist with administrative tasks for employees and partners: booking flight tickets, hotels, visas, work permits, etc.

5. Organize Company Events and Activities:
- Collaborate in organizing shareholder meetings: prepare meeting venues, print and distribute documents as required.
- Coordinate company events such as vacations, team-building activities, year-end parties, and Lunar New Year celebrations.

6. Managing Office Environment and Work Landscape:
- Liaise with internal logistics services: cleaning, landscaping, security, etc.
- Build a clean, secure, and tidy working environment

7. Tasks Related to Accounting:
- Verify and store invoices.
- Arrange documentation as requested.

JOB REQUIREMENTS

Educational Qualifications:

  • University degree in relevant fields such as Administration, Human Resources.
  • Knowledge of office administration and human resources management.
  • Proficient in Microsoft Office and email applications.
  • Familiarity with state regulations on administrative and human resource affairs.
  • Strong communication and organizational skills.

Experience:

  • Minimum 1 year of related experience.
